Bangalore

Construction activitie is now going on in the School for VI and VII std. We spoke to Head In charge(Govt Lower Primary School, near Samudaya Bhavan) and she suggested that we can have Christmas and New Year Celebration in the month of January as the attendance in the school has dropped because of the holiday season. So we planned to have the Christmas and New Year Celebration in the month of Jan.


Chennai - Christmas and New Year Celebration

This was a sudden plan arranged in 2 days. After getting permission and time from the Head Master of the School(National Primary School, Pallavaram) quickly we arranged for this celebration. It was on Saturday(20.12.08) of last week. We went to the school at 9 AM and the celebration went till 1 'o clock in the afternoon.

Our plan was to conduct six games and recognize first -second place student in each game. The school staffs had planned for 1 drama and 3 dances. First we finished one game in the morning. This game was not planned before, on spot one. Then they had their drama and dances. After that we conducted only one game for class 8 th ,7 th and 6th. We could not conduct the games as per our plan, because the children's were very very naughty and we could not control them :) . They were so much active and enjoying. The place was so small and there is no separate classroom for each standard, which you can see in the picture in the link, so we could not group the students. Then we distributed the prizes to top 2 best students in each class on Curriculum basis and some prizes for overall best students to encourage. Finally sweets distribution and photo session.

Games Planed:

Various objects will be placed and it will allowed to observe for 2 mins and then students have to write the objects that was shown.
Lucky Game: Students will be given with cards which has random numbers. Some numbers will be readout, student has the maximum numbers stroked will be given prize.
Maximum number of balloons blowing.
Mono acting the Picture given.
Students legs will be tied with balloons and they will put in a closed circle. One has to defend his balloon and he has to break the others.
Balloons will be placed every where, at an instance of time students who has the max number of balloon.

Really this was wonderful experience in both the ends. The school children haven't seen any people coming and celebrating like this before and the volunteers also had their first time experience. So both of them enjoyed a lot and important point here is all the volunteers who have come there will be working with us :).

Chennai:

Last week, we had a conference call meeting with the Head Teacher of the school in Chennai. This was primarily to understand the management of the school, their functioning etc... all at very detailed level

The important information is as below:

The school, National Primary School, was established more than 75 years back and is run by a trust named MPA. The trust is running two schools and few churches. This school is run in a rented building and the government gives the management a very nominal amount towards the building rent. The school is government aided, meaning the salary of the Teachers will be paid by the government. The school has an agreement with the landlord of the current site for only 2 years and after that the trust (MPA) should help the school find another rented building or a own buiding. The Teachers there are very well experienced (around 20+years and 30+ years) and it is their dedication and commitment that is keeping this school going on
After talking to the Teacher seeking clarifications and taking inputs from friends who have been there knowing the ground reality, we felt that we can go ahead helping this school

The current requirement that was said to us by the Teacher are as below

(a) repair work of the school building
(b) benches

We felt that we can go ahead and help with the least possible necessary repair work on the school building and can provide benches. The children need the benches as during the rainy season the floor gets wet and the benches can greatly help them

We have to now go about helping them with what they have asked and what/how best we can provide them

Bangalore:

Last Saturday (6th December 2008) we had been to the school. The following are the activities
(1) We had some clothes and chocolates to distribute which was donated by a person

(2) The computer needed some servicing, cleaning and re-installing some softwares. This was done (costed us Rs. 150)
(3) As agreed upon (that we shall distribute chocolates on our first visit every month) we had distributed chocolates. This costed us Rs. 110
Post the above activities we sat down with the Teacher and discussed in detail what we had planned to do from our side and how we can involve and contribute our time and effort (based on suggestions and inputs from all). At the same time asking what she expects from us. The following are the points touched upon

a) Make sure that there is pure drinking water at school. Installation of water purifier if necessary.

b) Donate indoor games and sports items to school. Meet with Principal of School and emphasize on having sports related activities for children
c) Donate Notebooks, Cursive writing books, activities books, story books.
d) Distribute 1Re. Cadbury's chocolates to all children during the first visit to school every month.
e) Conduct moral science, spoken English classes, quiz's (inform prior), General Knowledge, Hygine, good habits etc…
f) Make sure to visit school atleast once every month
g) Personality development classes for high school students
h) Plan and conduct competitions and distribute prizes.
i) If school doesnt have a toilet, we will have to build toilets if space is available. Check with localites of that area to collect funds for construction. If not able to collect sufficient money, then we will have to check if Saktyavesh can contribute money towards building toilet.
j) Keep check on attendance and ensure that there is less dropouts.
k) Further education plans/counselling for High school students. (already doing for th standard)
l) Arrange medical inspection
m) Active participation during parents-teachers meetings.
n) visiting the homes of the children who are irregular
f) educational trip
The good news is that the school is now scaling up. Currently conducting classes till 5th standard, construction is going on for 6th, 7th classes. 6th standard will commence from the coming academic year

Below are some of the facts of the school

The school was established on 5th July 2004. Currently there are around 132 children ( 1st class - 39, 2nd class - 28, 3rd class - 28, 4th class - 20, 5th class - 17)
The subjects the students are taught are Kannada, English, Maths, EVS (environmental studies)
There are currently 2 Teachers and one volunteer : Sheela (Head incharge), Kala and volunteer Saritha
For 1st till 4th standard there are two half yearly exams (September and March). However results will not be announced. If the attendance percentage is 75%, then the student is promoted to the next class.
For 5th standard there is monthly one test, half yearly exams. Here the student has to pass to go to 6th class (Grade system)
Weekly 2 period for games - 1 for indoor and 1 for out door (80 minutes)
Yearly once there is free medical check up
Monthly once training for all the Teachers (on a rotation basis) to improve Teaching quality
School Timing weekday: 8:45 - 4:00, Saturday: 7:45 - 12:30
Parent-Teacher meeting is conducted monthly once. And 3 months once when Progress card is issued again there is a parent Teacher meeting
Challenging experiences: When there are drop outs, the Teachers visit the respective homes and enquire about the students absence and encourage them to come back to school

Currently the donors (on a regular basis) for the school are:

SLV developers - bags, shoes, socks - yearly once
The area counseller - approx 500 notebooks every year

Apart from the material contibution that we are currently involved in, we can surely look at the suggestions given by the Head Incharge - that of Teaching, conducting classes, competitions etc..,

Bangalore - SAP Business Objects proposal

On 24th November 2008, We met a Government official (Education department) to identify 3 more schools so that we can furnish the details of the same in our proposal with SAP - Business objects with respect to our application for funding. The proposal was submitted with the necessary details updated in the same.

On 27th November 2008, Volunteers from Business objects team presented our proposal to their senior management. We are still awaiting response from their side.

Hyderabad

On Tuesday (18th November 2008), there was a short meeting in Hyderabad to discuss on taking up projects in Hyderabad. We are working on this. If there are any inputs that can he shared, kindly do so

Bangalore

On Thursday (20th November 2008) we had a meeting with SAP Business Objects representatives regarding the funding for which we have applied. It was informal, basically getting to know the work we are doing and sharing information and answering questions. They wanted to visit the school that we are involved with. On Saturday (22nd November 2008) we visited the school after the Teacher was informed in prior about this. Around 9:15am we reached the school. The representatives from SAP Business Objects interacted with the Head Mistress and asked questions on the school, the helped offered from the Government and how we are playing a part there etc...

The Teacher was very cooperative during this process. Once the meeting was done, we went around the class rooms and the representatives were shown the physical infrastructure. Later we were told by the representatives that our presentation for our project would be on 27th November 2008 (Thursday). We have to prepare for this. If there are any inputs that can be shared, kindly feel free to do so. Your feedback will only enrich our presentation

The Teacher gave a list of things that are now needed by the school. Below is the list

(1) Patriotic songs cd
(2) Pictures/information/video cd's of – wildlife – sources of water – desert (different places) – rhymes – story telling – science experiments – National leaders life story
(3) There was also a request if there the children can be taken out one day for a educational picnic

Bangalore:
We have been to the bank. For the current account passbook will not be given and only cheques. The cheques also has been delivered to the Vinay's address.We went to school in to take snaps of the children for the web site creation.

Chennai:
We went to school as a Team (Prakash,Senthil Arasu, Pandimurugan, Vignesh Babu , Antony Jasmine and Venkatachalem( Prakash's office staff)). The school name is National Primary school in Pallavaram. This school has 252 students from class I to VIII. It is running for past 75 years. It is running in the rented building. The management is not able to take care of the school, so the condition of the school is not good. We reached the school 7:30 in morning and we met the teachers.We had good discussion with the Staffs and children in the school. Then We attended the prayer in the school.

1. What is the go forward plan of the management regarding the school? How are they planning to run, maintain and take the functioning of the school forward?
The management doesn't have any plan on running the school. The management pays only the rent of the building and they are asking the staffs to run the school.

2 .Need to be absolutely sure that the management has no doubts on functioning of school in future also.
Yes. There is not doubt that school will be functioning. It is Government aided school so it cannot be closed. The important point we observed here is each and every one of the student in this school have some problems in their family like many are orphans and some don't have father or mother. Even if they have parents, they are daily wages and they are not able to pay even for the admission fees. So if we join these students in normal school, they will suffer to survive.

3. Are they eligible or supposed to receive any kind of aid from Government for running the school? If that is the case, we can try out some options in those lines as well in addition to the support from our side.
They are already receiving help from the government for Mid day lunch, staff salary and under the SSV scheme they are receiving around Rs7000(not exactly) yearly , cards for teaching the students and some educational CDs also. They have given the petition collector and Minister for the help, as it is Government aided and the management is different the higher officials said they cannot help.

4. Have they approached anyone for help earlier and has anyone approached them with help earlier.
Yes. They have approached many people for help. But they have got help as one time and not further. They have got small help from Medical shops and some other people for benches and screens. No one/Group has come forward to help them fully.

5. Are they/are they not, working with the intention of spreading any religion?
No. They are not working in the intention of spreading the religion. They work fully in the intention of giving education and service mind.

6. MOU need to be signed saying that we are here working for the said purpose and what support we need/expect from the school/staff
We have talked to the staff and need to be done later.

7. Need to know if the school also wants to have classes for 9th and 10th standard also
The school doest have any good infrastructure and space to expand. So as of now it cannot be done.

8. Need to visit the school with the Team.
Done !

Their Urgent requirement
• Building for the school.(This cannot be done by us, we can get some help from other originations if possible)
• Roof of the Building.
• Whitewash to the existing building.
• Mats to the students to sit.
• Benches to the students (we have to discuss about this).
• Cans to store the water.

On Saturday, Vinay and I went to the bank (SBI - Kundhanahalli branch, Bangalore) and submitted form and required details for opening our Saktyavesh account. The bank manager verified it satisfactorily. The process is now initiated and we have to go on Wednesday and pay the money (Rs 10,000)

Perseverance pays. Second major milestone reached – we have successfully created our bank a/c (30533359540) in SBI. The account is in the name of 'Saktyavesh'. On Wednesday we received the a/c number and also deposited Rs 10,000 in the account. It will be a 'current' account. We will not get atm card, but we will have access online. We have to collect the passbook this week. Kindly do not transfer any amount to this account. Continue transfering contributions to Vinay's account. Once we have the online credentials, and are aware of the processes we can transfer contributions to this account

We have got an opportunity to apply for funding from Business Objects (an SAP company). We have applied for this. Attached document has these information. The first file has three sections (A), (B), (C). The details needed in (C) is put in a seperate document (second attached file). If there are any inputs do let know and we can go with the best possible strategy. Hoping for the best here

The school is on leave till 26th October 2008. So no visits till then. We did not have any meetings also last weekend

On last visit to the school, the Teachers did convey their gratitude to all of us. There are three donated computers which need to be repaired (Hardware problem). We have to do that

We should now work on things on how we manage Saktyavesh and take it forward. We are now 36 friends (including 8 trustees). As per Saktyavesh "By law" we will have 10 trustees. Again, the only difference between a trustee and a member is that a trustee has to for sure respond to certain mails, participate in conference calls once in three weeks and a couple of more things. Attached are the roles and responsibilities of a trustee. Trustees will evolve with time depending on the willingness, interest and collectively all the trustees have a vote. Trusteeship is subject to vote after three years from date of inception (19th April 2008)

b) Visit atleast 3 schools in an area and check if they are lacking in basic facilities like seating (atleast mats) , pure drinking water, facilities like good teaching aids and other materials
c) If another NGO is playing an active role and they already have plans to improve facilities, then we wouldn't choose such a school
d) Preferably, the school should be conducting classes until 10 standard
e) School should have proper/clean toilets

Last week, Prakash (from Chennai) visited one school in Pallavaram, near to Tambaram, Chennai, as part of our plan to kick start a project in Chennai. The name of the school is National Primary School (Govt aided school). It has class from 1st to 8th. We are currently evaluating this project and shall keep you all updated with more details. We are also looking for schools in Hyderabad

SBI bank a/c

Perseverance pays. Second major milestone reached – we have successfully created our bank a/c in SBI. Today, we deposited Rs 10,000 in the account

It's a current account (we will not be able to get ATM card but we have flexibility with online transactions). There is a book let given by bank manager, shall share the information once I go through it

On 2nd October, Mahatma Gandhi Jayanthi, we were invited to the school for celebration. At the school, a few elders from the surrounding area, a few volunteers who were involved in helping the school and the city municipal councilor had gathered. It was a books free day for the students J . One elderly person from the area gave a talk on the life of The Mahatma to the students, and also sang a song – inspiring the children to emulate The Father of the Nation. Later, interested students also sang. The staff members, elderly people and the councilor thanked us for our contribution towards the betterment of the school. The books, which we had donated on our last visit (cursive writing books) were then distributed to the children. We also distributed chocolates to all the children (thanks to Shilpa)

Thank you all for the support; it was a truly humble and happy feeling that day

The last Saturday (27th September 2008) we were following on the bank account creation. Unfortunately we couldn't complete it as the vendor from whom we ordered seal (which is a must for the process) was not able to deliver on Saturday. The shop was closed. Vinay went to the seal shop today (29th September 2008) also but the shop was not open. So more time here

22nd September 2008

On Saturday, Vinay and I went to the bank to create the bank account. We were ready with the seal and other documents. We met the manager of the bank who further suggested a few more requirements. We need to make three 'for' seals – For President, For Managing Trustee and For Joint Managing Trustee. Also there is a suggestions to slightly modify the resolution.

Meet

It will be a good opportunity if we all meet each other and it's important that we do so. One approach would be that all friends in Chennai can meet among themselves. Similarly all friends in Bangalore can meet among themselves and all friends in Hyderabad can meet among themselves. This will be a wonderful opportunity for all to interact and discuss on our initiative, put forward ideas, suggest practices and processes which can be followed and much more

Dear All,

Last week day, Vinay got our Saktyavesh seal ready which is a must for bank account creation. We are now working on further processes

On Saturday (13th September 2008), Ananth, Sankar, Nandhini, Shilpa and I went to the school. We had got some books – Cursive writing in English (140 in number) and ruled books (51 in number) – worth Rs 5204.25. Once at the school, we interacted with the children, watching them play snake and ladders (which we donated on our last visit) and talking to them and getting to know their talents

After, the children left for the day, we had a detailed discussion with the Teachers. Discussing with them on bring more children to the school from adjoining areas and also retaining the interest of the children who are already coming to school and many more topics. Thanks to Shilpa who knew Kannada, interacting with the Teachers in detail was not a problem

There were suggestions on how to get books and conduct activities which are mentally refreshing and leave the children with a happy and learning experience

The Teachers also invited us to teach/interact with the children when possible

08th September 2008



We had visited the school in Bangalore this weekend (on 06th September 2008) and handed over the items purchased. Games – chess (1 qty), snake and ladder (2 qty), scrabble and drawing books, trace and paint books, color sticks and story books in both English and Kannada language. The Teachers were telling us how drawing, when introduced to students, will help them. We had just taken a few books of different variety, to check if this will help. The Teachers are fine and gave us a new list of requirements. Below are the details

(1) Trace and paint books - 40 pieces

(2) Drawing books (farm) - 100 pieces

(3) Cursive writing books - English 140 pieces

- Kannada 140 pieces

(4) Note books – single ruled – 50 pieces

- Box (for Math's) - 50 pieces

Going forward, the students will be introduced to cursive writing also. Later we looked at the computer, as the Teachers said that the sound was an issue. Kiran looked into it and found that the speaker was not connected. It was set then right. As said before, there are a good number of educational CD's distributed by the Azim Premji foundation and the Teacher and the students should be able to make full use of the computer. Later we had a look at the school library too and interacted with a few students – though they were shy. But we did get to see their creative work – like drawing. If there are any ideas/suggestions for development of the students, kindly share them

Apart from the books the Teachers also asked us to get some patriotic songs. We can give them songs in Kannada, Hindi, Tamil, and Telugu

Today, when I went to the bank a new requirement cropped up. The manager asked us to get our resolution stamped with 'Saktyavesh' seal. We don't have a seal yet and have to make it. So some more time here, for the bank account

It’s one thing to say and another thing to implement what we say. During our school visit, two incidents happened that should be highlighted

(1) After we donated the books, games and other items, we were asked to sign a register as a proof of our donation. I signed, then Kiran signed, and then Venkat signed. After signing, Venkat asked if we did write the name of Saktyavesh against the donations. I was struck. We didn’t. We went back and wrote

(2) The next incident was when we received the new list from the Teacher, Kiran asked if we can go and buy the things now. I said ok. Then Venkat said, we should check out with other friends, discuss on this list and then buy the things and give the donations

Thank you Venkat for making sure we followed the process. And that was a great team work

It’s very easy to go off course. That’s the reason in most companies there is a position of Chief Operating Officer created. Though these are small incidents, we should make sure we don’t deviate and work humbly and with devotion for the work that we have taken up

We now have our website (http://www.saktyavesh.org/) up and running. Kudos to Ananth, his friend (Chary) and Kalyan we were lucky to get help from experts. Ananth and his friend (Chary) worked on the design and Kalyan helped us with hosting

Our search for a friend with similar interest and the ability to use Orkut with ease ends. Rajesh Narendar has volunteered to take ownership of spreading the message and bringing more visibility to Saktyavesh via Orkut. On Friday, 15th August 2008, Ananth and I had a good discussion on the basic processes and things to work on about our project. Guess Ananth being a Six Sigma Green Belt certified helped. From understanding how critical our work is, to questioning ourselves what the basic needs of a school are. Do we have a list for the basic things that a school needs? As of now we do not have one, and we have to come up with one. It is imperative for us to understand how critical our work is and how are we making a difference. Hope the attached ppt helps us understand this complexity (Do let know if there are suggestions/comments here)

Communiation

We also talked about our communication modes and styles. We all are busy with our work and it will be disturbing if a feedback for a question or a suggestion is sent by all the 35 of us marking all 35 of us. Many of our mailboxes would be flooded and worse, it may hang. So we propose that feedbacks and suggestions be sent to single mailbox only (Saktyavesh@gmail.com). Once feedbacks are received and after collectively brainstorming we shall communicate to all the outcome/the best possible strategy or simply, just consolidated feedbacks

I am short of words to write this mail. We have lost one of our dear friends from Hyderabad. Srinivas Reddy (who helped us with templates for our website) is no more. He met with a fatal accident due to electric shock on Saturday (09th August 2008). I had spoken to him only a few weeks back regarding the website. We convey our deepest condolence to his family and near and dear ones. Only wishing that they have the courage to overcome this tragedy

We have three new friends among us who have expressed their willingness to work with us. Sankaralingam, Rajesh Narendar and Shilpa. Sankaralingam and Rajesh Narendar are classmates and friends of a few of us. Sankaralingam is currently working in UK and Rajesh Narendar is in Chennai working with Satyam. I got to know Shilpa through a mutual friend and colleague. She is based out of Bangalore. Thank you friends, we believe we will be able to realize our dreams of a better world collectively and make a positive difference to this world, our mother nature

Last week, we had brought some games and books worth Rs 1,151.50 for the school. Games like Chess, snake and ladder and a puzzle game. Books which are activity related and fun to learn. However, we were not able to hand it over to the school on Saturday as the Teachers at the school had to attend a meeting at another location that day. So we should be handing over the item purchased next week hopefully

On Friendship in Chennai (Sunday), a few our friends classmates (2003 class of M.C.A, Mepco Schlenk Engg College) had got together and donated a sum of Rs 2000 towards Saktyavesh. Attached is the snap in this regard

On Saturday 26th July 2008, Athiraj, Sakthivel, Venkat, Yogitha, Vinay and I went to the school. We had got 7 more mats costing Rs 2500 and donated them to the school. The Teacher had specifically asked for mats to Vinay during a conversation – may be because of the cold climate

Once at school, after giving the mats the Teachers there had a surprise for us. All the students sat in one class room and we were made to sit in front of the class. The students then gave a presentation of their skills like singing, dance and rhymes. They Teachers motivated the students taking us as examples. That was a surprise for us and not to say we were really happy at the energy levels the children displayed J

Later we had a meeting with the Teachers and Councilor. The discussion was centered on how to improve the school. The staffs there are forth coming and willing to help the students. The Head Mistress asked for teaching aids like globe and charts from us

Regarding Bank Account

I had been to the bank and showed the manager our resolution. Got a feedback from the manager that we have to have our resolution on our letter head. So we have to work on creating our letter head

Here is an update from Chennai.

Last week I and Vivek met and had discussion for an hour. I am listing out the things discussed.

  • Already an organization like ours by the employees of Polaris in Chennai are doing great job of conducting the exam and top 10 will be given books, uniform and stationary need for the education , we can also think in such a activities may be not exactly the same.

  • Picking up students from the corporation schools and giving them the awareness and skills need to shine in their life like Personality development, communication and other classes required for the life which is not thought in the school.

  • Educating them the importance of the simple thing but important to life like following Traffic rules and many other things to make the younger generation healthy in thinking.

I spoke to Another Person Swaminathan. Already he is doing a great job in Chennai. He get the helps of youths who is working and studying and he making them to take class to the students in the very Poor area. I visited one such class. That is not exactly the class but children’s are engaged with some moral things. They have been taken class about the Ramayanam , Mahabharatam and Freedom fighters. The youths who come here are really coming out of their won interest and not with any money motive.

I met one more person whose name is Nathan Sharama. He is organizing the things in the place where I visited. He has given some request to us.

  • To help the students to earn them selves and to study: That’s we have to help them to get some part time job. Its all small works through that they can earn some money for their family like candle making.
  • To pay for a tuition Master: There are around 50 students. He wants to take tuition to those students.
